Choosing an office cleaning contract in Fife: what to ask

Updated 21/07/2026 · 6 min read

Office cleaning quotes in Fife look similar on paper and diverge sharply in practice. The difference is almost always staffing: who turns up, how often they change, and who checks the work.

Ask who is actually cleaning your office

A named, consistent team learns your site — which meeting room is used on Tuesdays, which bin fills first. High-churn contractors reset that knowledge every month.

Ask directly: will it be the same two people each week, and who covers holidays?

Insurance, vetting and employment status

Ask for public liability and employer's liability certificates, and confirm cleaners are employed and paid at least the real Living Wage rather than treated as self-employed cover.

If your premises handle sensitive records — a solicitor's office, a dental practice — confirm the vetting level and get it in the contract.

Key-holding and alarm protocol

Out-of-hours cleaning means keys, fobs and alarm codes. There should be a signed protocol covering who holds what, how it is stored, and what happens on the day someone leaves.

How quality is measured

A specification without a check is a wish list. Look for a written task list per area, a supervisor visit at a stated frequency, and a simple way to log issues that gets a response the same working day.

Notice, price reviews and scope creep

Prefer a rolling monthly agreement with 30 days' notice over a 12-month tie-in. Check how price reviews are triggered, and make sure periodic work — carpets, internal glass, hard-floor treatment — is either included or priced up front.
